The uncertain future of the Preschool
New Committe Members Urgently Required 2010-2011

Dear Parents/Carers

I am writing to you in a plea for volunteers to come forward to assist the committee with the running of the Preschool. For those of you that are not already aware, the Preschool is managed by a management committee which consist of parent volunteers. We are affiliated to the Preschool Alliance and as such we are bound by the terms stated in the Constitution. You can view this document on our website: Constitution

We have a number of parents standing down from the Committee this year as their children prepare to move on to Primary schools and as a result we are looking for new parents to volunteer and take their places. The vacant positions are Vice Chair, Secretary ,Treasurer and Fundraising. The roles of Secretary and Treasurer positions are vital to the running of the Preschool (as stated in the Constitution) and without these posts being filled we will not be able to function as a Committee. If the Committee resolves that, consequently, the aims of the Preschool can no longer be fulfilled and we will be forced to consider the winding up and dissolution of the Preschool.

We hope that it will not come to this and urge you to come forward and volunteer. We will make any decisions at the Annual General meeting which is due to be held in September 2010.

Brief details of the vacant positions are shown below, however if you would like to find out more please do not hesitate to contact me personally or any member of the staff or committee.

VACANT COMMITTEE POSITIONS AND BRIEF DESCRIPTIONS OF THEIR RESPONSIBILITIES

The Treasurer needs to:
Have regular contact with the staff and chairperson
Liaise with the Payroll company (Payroll and staff wages)
Organise administration and collection of invoices and receipts
Have contact with the Registrations Secretary about Nursery Vouchers, monthly invoices and uniform sales.
Liaise with the bank
Prepare accounts and report these regularly to the committee and annually to Charities Commission and Northants County Council

The Vice Chair needs to:
Assist the Chair in their role
Prepare the Health and Safety Risk assessments
Represent the Preschool at the Club Room Committee meetings which are held monthly
Complete grant application forms and co-ordinate spending of grant money
Complete Charities Commission returns annually


The Secretary needs to:
Send out agenda for committee meetings
Write minutes for committee meetings
Update any documents
Provide an article to Titchmarsh Times, the village news letter, every term giving an update on the Preschool.
Produce the news letter to parents every term.


The Fundraising Coordinator needs to:
Oversee the organisation of events to raise money for the preschool with the help of the other members of the committee, staff and parents
Contact companies for donations of gifts/prizes
Organise raffles
Ensure that posters and invitations are displayed to advertise events
Contact newspapers to inform them of events at the preschool
